Job description

To support our growth, we are looking for a motivated and experienced Administrative and Business Support Officer for our group. In this role, you will be working directly with colleagues from all teams of the group including senior management. The role is essential for the efficient handling of our administrative and operational processes.

Administrative Support / Office Management

  • Management of the reception, welcoming business partners, guests and suppliers, and organising meetings

  • Administrative tasks, such as invoice processing, signatories arrangements, correspondence and courier management, documentation and archiving

  • Supplier management

  • Travel and logistics arrangements for Innpact staff and fund vehicle Directors in relation to events and Board meetings, as well as to support event management, as required

  • Support of senior management, as required

Business Support

  • Support documentation of Board resolutions taken, Board signatories

  • Support E-desk filings, arrangement for certificates of residence or other relevant documents

  • Arrange for notarization and apostille

  • Support regulatory requirements, KYC and AML document collection, if required

  • Support the arrangement of corporate activities

Business Development Support

  • Arrange for business meetings and support outreach to prospects

  • Support contacts & data management and completeness of data within business tools

  • Prepare regular and ad-hoc system reporting

Profile

Qualifications & Experience

  • Bachelor’s degree or similar in Business Administration or related field

  • Minimum of 5 years of experience in an administrative and business support function, ideally within the financial sector

  • Effective and strong communicator and relationship builder, able to interface confidently with colleagues, senior management and clients/business partners

  • Proficiency in office software, data systems

  • Strong ability and flexibility to work efficiently in a dynamic working environment

  • Organisational talent, attention to detail, ability to manage tasks, files, schedules efficiently, respond swiftly and effectively to unforeseen situations in a client-focused environment

  • Ability to conceive, embrace, manage and implement positive change
