Within our Cyber & Security division, we provide tailor-made services to prestigious clients, including cybersecurity advisory & solutions, IT consultancy, and executive recruitment. As part of this activity, we are currently assisting one of our clients in Brussels in the search for an Executive Secretary to support their team members and executives.

Job description

We are searching for an Executive Secretary who will be responsible for providing administrative support in Brussels and for proactively anticipating needs and priorities. We encourage candidates without post-secondary qualifications to apply as well, this is not a blocking point.

Key responsibilities include daily diary management, organizing internal and external meetings and travel arrangements, with a focus on looking ahead to ensure the week runs smoothly.

Tasks and Responsibilities

  • Act as the principal executive assistant to the team, providing support with diary management, preparation for upcoming events or meetings, and maintaining a day- and week-ahead overview

  • Anticipate diary/calendar changes and respond appropriately

  • Coordinate the preparation of information, documents, and briefing materials from relevant sources to support meetings when required

  • Proactively identify solutions to help team members complete tasks and attend meetings efficiently

  • Handle business-sensitive information with professionalism, ensuring the highest level of confidentiality

  • Provide ad hoc support to other members of the business with travel bookings, diary coordination, and other administrative tasks as needed

  • Recording financial transactions, assisting in preparing financial statements, as well as in the process of budgeting and forecasting

  • Support the organisation of events by liaising with external suppliers, obtaining quotations, and securing bookings, with flexibility to occasionally work evenings

Profile

Skills And Experience

  • Fluent in English and Italian

  • Initial experience supporting management, in a high level of confidentiality environment.

  • No specific education requirements, candidates with all education levels are welcome to apply
