Key Responsibilities
1. Receiving Goods
• Receive food, beverages, housekeeping supplies, guest amenities, maintenance materials, and
other hotel supplies.
• Check deliveries against purchase orders, delivery notes, and invoices.
• Inspect goods for quantity, quality, expiry dates, damage, and compliance with specifications.
• Report discrepancies, damaged goods, or incorrect deliveries to the appropriate manager.
2. Storage and Organization
• Store goods in the correct locations and under appropriate conditions.
• Keep stores clean, secure, organized, and properly labeled.
• Follow FIFO (First In, First Out) and, where applicable, FEFO (First Expired, First Out) procedures.
• Ensure food and non-food items are stored separately where required.
• Monitor storage conditions, including temperature and hygiene requirements.
3. Issuing Stock
• Issue supplies to hotel departments based on approved requisitions.
• Record all stock issues accurately.
• Ensure that goods are issued in the correct quantities and to authorized personnel.
• Maintain proper documentation for all stock movements.
4. Inventory Control
• Maintain accurate stock records and inventory registers.
• Conduct regular physical stock counts.
• Reconcile physical stock with inventory records.
• Identify slow-moving, damaged, expired, or obsolete items.
• Report stock shortages, excesses, and unusual variances.
5. Stock Monitoring
• Monitor stock levels and inform the purchasing department when items need replenishment.
• Help establish minimum and maximum stock levels.
• Prevent overstocking, shortages, theft, spoilage, and unnecessary wastage.
6. Documentation and Reporting
• Maintain receiving reports, store requisitions, issue records, stock cards, and other relevant documents.
• Prepare regular stock and inventory reports.
• Assist with month-end stocktaking and inventory reconciliation.
• Ensure all records are accurate and properly filed.
7. Health, Safety, and Security
• Follow hotel health, safety, hygiene, and fire-prevention procedures.
• Ensure hazardous or sensitive materials are stored according to hotel requirements.
• Restrict access to storage areas to authorized personnel.
• Report safety hazards, damaged equipment, or security concerns.
8. Coordination with Other Departments
• Work closely with Purchasing, Finance, Kitchen, Food & Beverage, Housekeeping, Maintenance, and other departments.
• Respond promptly to approved departmental requests.
• Assist in resolving discrepancies between orders, deliveries, and stock records.
Required Qualifications
• Diploma or certificate in Stores Management, Purchasing, Logistics, Accounting, Hospitality Management, or a related field.
• Previous experience in a hotel, restaurant, warehouse, or similar environment is an advantage.
• Basic computer skills, particularly Microsoft Excel and inventory-management systems.
• Knowledge of stock control and inventory procedures.
